Office photo scavenger hunt pack
Selected prompts: __________ Short round suggestion: 1, 6 and 7. Cross out unused prompts. No need to finish every prompt.
Rules for everyone
- Participation and being photographed are optional. Ask everyone pictured before taking or uploading a photo. Respect a no without asking again. Get separate permission before public or promotional reuse.
- Offer seated, step-free versions of every prompt. Guests can direct a photo, describe an idea to a teammate, or choose an object-only alternative. No running, climbing, purchases, alcohol, or personal-device ownership required.
- Keep screens, badges, documents, customer details, private conversations, and restricted spaces out of frame. Quiet rooms are not photo locations. Check reflections and backgrounds. Follow venue and employer rules.
- Skip points for a cooperative round. For a game, the host manually awards 1 point per accepted answer to a selected prompt. Cross out unused prompts and set the maximum before play. Equivalent alternatives earn the same point. No speed bonus. Ties share the win. Scoring is not automated.

Office photo scavenger hunt pack: host preparation
Give participants the checklist page. Keep this preparation page and the separate Host run sheet tab for the facilitator. Print that tab too for timing, contingencies and review.
Setup: Choose a common, step-free area. Assign a host and optional small teams. Set a finish time together, read the rules aloud, and share a printed sheet or upload link. Avoid active workspaces.
Materials: For each group of three to five, prepare a prompt sheet, six blank sheets, thick pens, three clean shared stationery items and a supplied leaf drawing or nature object. Add a textured card for prompt 5. Check that everyone can reach the materials.
Optional creative direction: Make a tiny museum: arrange the team symbol, welcome sign and imaginary mascot as three exhibits. Give each a fictional title. Photograph each answer separately if scoring. No company lore or art skills needed. This adds no extra answers or bonus points.
Announce alternatives before play: Keep everyone at the same table if the route is busy. A supplied leaf drawing answers prompt 2 and the textured card answers prompt 5. Directing someone else’s arrangement counts equally.

Conference photo challenge pack: host preparation
Give participants the checklist page. Keep this preparation page and the separate Host run sheet tab for the facilitator. Print that tab too for timing, contingencies and review.
Setup: Confirm photography rules with the venue and speakers. Choose a short optional round or participation during breaks across the day. Mark approved common areas and a finish time. Keep sessions, quiet rooms and access routes out of the activity.
Materials: For each group of three to five, supply a prompt sheet, six blank cards, thick pens, three reusable objects, a host approved event sign and an architectural image for table use. Do not borrow exhibitor props.
Optional creative direction: Make a postcard from a future conference: show a question worth exploring, an object arrangement about collaboration and a takeaway symbol. Use invented examples rather than client plans. One person may describe the pictures instead of writing captions. This adds no extra answers or bonus points.
Announce alternatives before play: Anyone may choose these equal credit alternatives: the supplied sign for prompt 1, the architectural image for prompt 4, or a drawing of a question you would like to ask for prompt 7. No sponsor visit or sales conversation required.

Holiday party photo prompt pack: host preparation
Give participants the checklist page. Keep this preparation page and the separate Host run sheet tab for the facilitator. Print that tab too for timing, contingencies and review.
Setup: Pick a shared area with a seated option and quiet participation space. Make all prompts optional. Provide paper and reusable objects so guests can join without dressing up or buying anything.
Materials: For each group of three to five, supply a prompt sheet, six blank sheets, thick pens, reusable paper shapes in several colors and a textured fabric swatch. Skip glitter, food props, scents, hot glue and loose confetti.
Optional creative direction: Build a paper neighborhood: make a shared shape, a welcome greeting and a thank you scene. Fold paper into buildings or arrange it flat. Invent the place instead of naming real homes, beliefs or family traditions. This adds no extra answers or bonus points.
Announce alternatives before play: Anyone may use the supplied fabric for prompt 4 or draw a repeated decorative pattern instead of a reflection for prompt 7. These alternatives earn equal credit. No explanation needed.

Disable Public Gallery if guests should not see the shared collection. A gallery link can be forwarded. Guests can still see their own uploads, including pending ones.

Before guests arrive
- ☐ Choose the exact prompt list and maximum score. The activity packs have 8 prompts. The office guide has 15. Give everyone the same list and equal credit for alternatives.
- ☐ Name a host, a reviewer and an approved play area. Keep exits, working desks and quiet spaces out of the route. Prepare each table’s materials and a host camera if needed. Offer a seated option and a quiet break instead of play.
- ☐ Send the instructions in advance. Offer a private way to ask for access support without requesting a diagnosis. Do not record who declined or use participation in performance reviews.
- ☐ Agree who may see photos, what they may be used for and when to review or delete them under your organization’s policy. Ask your privacy lead about legal requirements. These sheets are not a photo release.
- ☐ Test the link as a guest, including any consent or email steps, and check visibility from a second guest session. Confirm upload dates and capacity. If connectivity fails, judge camera rolls without a speed penalty.
Using Gather Shot? Public Gallery and automatic approval are on by default. Before collecting, turn off automatic approval if you need review before public display. Disable Public Gallery if guests should not see the shared collection. A gallery link can be forwarded. Guests can still see their own uploads, including pending ones.
Read aloud, then demonstrate one answer
This is optional. You can take pictures, suggest ideas, use the seated alternatives, or take a quiet break. You do not have to appear in any photo or explain why. Stay in the approved play area and return at the finish time on your sheet. Ask before taking and uploading a picture of anyone. Keep screens, badges and private information out of frame. Use one answer per prompt. If we are scoring, each accepted answer earns one point, including alternatives. There is no speed bonus and ties stand. Tell the host privately if you need help or want a photo removed. We will review photos before choosing anything for the recap.
Finish warning: “Please finish your current answer and return. There is no bonus for arriving first. Let the host know if uploads are still finishing.” Use the warning time on your chosen schedule.
Timing and facilitation
Set up before the clock starts. These schedules are suggestions, not tested completion times. Choose a cooperative close unless you have budgeted review of every scored answer.
15 minutes: three prompts
0 to 3: brief and choose ideas. 3 to 10: make and photograph. 10 to 13: privately check selected favorites. 13 to 15: thank the group and reset the table.
Use the three prompt numbers suggested on each pack. Give a two minute warning at minute 8. Leave scoring off and share only images cleared in time.
30 minutes: eight prompts available
0 to 5: brief and choose ideas. 5 to 20: make and photograph. 20 to 26: privately check selected favorites. 26 to 30: describe a cleared selection, thank the group and reset.
Completing all eight is optional. Give a five minute warning at minute 15. This is a cooperative round, not time to judge every answer from every team.
When the plan needs to change
- During the briefing, allow a quiet minute to think, sketch or choose a prompt before anyone pitches an idea. Then invite suggestions, with a pass allowed. Ask managers to offer their ideas last. Roles can change, and nobody has to speak for the team.
- If one person takes over, say: “Let’s pause for any other ideas before we choose.” Offer to read a prompt aloud, describe an object or arrange it under someone’s direction. Drawing and handwriting are options, not access requirements.
- Starting late? Reduce the selected prompts before play and keep the agreed finish. Do not cut the safety briefing or quiet break. Late arrivals can join a willing group without catching up. Stop if the room becomes unsafe or the activity disrupts other guests.
- No connection? Use the printed list and camera, then arrange a later upload deadline inside the actual upload window. No usable camera or willing device owner? Use a host device if available, or switch the whole round to making and describing objects with no collection or scores.
- Review running long? Hold the pictures back and close with an optional spoken observation. Do not project a camera roll while checking it. Thank people who helped in any way, without identifying who opted out.
Chosen round: __________ Warning time: __________ Reset owner: __________
Safe replacement deadline, if scoring: __________ Later upload deadline: __________
Before leaving, return props, clear paper pieces and temporary signs, and check the room. Assign a person to finish any held reviews privately.
Review and recap worksheet
Review each candidate image
- People: did everyone pictured agree to this photo being shared with this audience? If unsure, hold it back and ask privately. An uploader cannot agree on behalf of everyone in the frame.
- Background: zoom in on screens, whiteboards, badges, reflections, documents and location clues. Do not approve an unsafe original because you intend to crop it later. Request a safe replacement.
- Score: match the response to its prompt and team. Award at most one point per prompt. A duplicate adds nothing. An equivalent seated or object response earns the same point. Hold disputed answers for private review.
- Sharing: a valid game response is not automatically approved for a gallery, slideshow or recap. Record the intended audience separately. No public or promotional reuse without the appropriate separate permission.
- Removal: stop displaying a flagged image, contact the organizer privately and follow the organization’s incident or removal process. Check exported files and recap copies too. Do not promise to recall every forwarded copy.
Three slides, email sections or spoken points
1. What we made
Choose one cleared image or an object photo. Add the event name, date and a short factual caption. Describe the image in text for people who cannot see it. Do not publish a whole unreviewed gallery.

2. What we noticed
Ask: “What made it easier to contribute?” and “What would you change next time?” Include only comments people agreed to share. Avoid identifying who opted out or treating photo counts as attendance, engagement, leads or ROI.

3. What happens to the files
Name the intended audience, the approved collection location, the removal contact and the next retention review date. A retention review is a host task, not an automatic deletion setting. Thank people without asking for more uploads if the window has closed.
